Vintrace, a cloud-based winery management software system created to track and improve the winery production process from grape to bottle, has revolutionized the way Union Wine Company in Oregon does business.

Heading into the 2020 harvest, the highly successful 500,000-case-a-year winery was looking to continue to improve the efficiency of its operations, including improving data entry accuracy, eliminating collecting in the lab and resolving communication issues with work orders and shift changes, in addition to resolving the multiple and unprecedented ways in which Covid-19 has affected the workplace.

These issues were effectively addressed when Union Wine Co. chose to extend its existing vintrace processes to include the winery team’s use of the mobile app for iOS and Android operating systems, making it easier real-time on-site data capture and monitoring across the entire winemaking spectrum. .

Kaitlin O’Brien

According to Kaitlin O’Brien, former assistant winemaker at Union Wine Co., when her company installed its 30-person cellar staff with iPod Touch devices using vintrace’s digital work order system, the improvements were instantaneous.

O’Brien reports that the accuracy was “ten times better, and the data was in our winemaking system as soon as it was measured.”

She also notes that Vintrace’s digital work order system has made it easier for winery staff to work sequentially to avoid errors, as “you have to complete the screen requiring a tank soak before you can move on to the next step”.

For Heather Crawford, Vintrace’s Director of Growth, the success of Union Wine Company confirms the intent and effectiveness of Vintrace’s design.

“What matters is how quickly the information passes from one hand to the other,” Crawford points out. “Anything we can do to help the winemaking team access information and share the flow of information is just tremendous.”

“If people are able to do things faster and make fewer mistakes, that saves time – and that’s money.”
